Scheduling Supervisor

Position Summary

Manages the day-to-day physician scheduling process for assigned Team. Provides liaison function between all departments within Operations. Assists in planning for the efficient utilization of staffing resources. Mentors and works to facilitate individual and team development that drives positive results. Prepares in-house physician schedules for assigned hospitals.

Primary Duties and Responsibilities:

  • 20%: Compose or support a standard number of hospital schedules based on the region workload. Writing schedules, filling opens, publishing schedules timely, maintaining scheduling software for accuracy
  • 10%: Support Medical Director at site-scheduled contracts as needed
  • 10%: Build strong relationships with clinicians, by communicating via phone, text and email to understand their needs and fill schedules at rate, educating clinicians on scheduling protocols and guidelines. This includes monitoring all forms of communication as needed to ensure call off’s are addressed, as well as any other emergencies
  • 10%: Reconcile clinician hours each month via scheduling software and submit reports to payroll department, work with payroll to ensure accurate payment
  • 10%: Train and mentor new Scheduling Coordinator.  Mentor team members demonstrating opportunities.  Lead Scheduling team to success through teambuilding and establishing, implementing, and monitoring scheduling protocols and guidelines for company
  • 10%: Tracks and monitor performance metrics, financials, and assists management in compiling reports as needed.  Report Team month end reports to Manager.
  • 5%: Identify and report facility recruitment levels, continually update reports such as Have vs Needs to ensure Recruiting has real time information
  • 5%: Work with Scheduling team to fill opens, mentor team on best practices to fill opens at rate, provide fellow Scheduler with support filling shifts
  • 5%: Monitor and track assigned team’s locations spend.  Work with providers and leadership to reduce increased compensation and facility spend to maintain budget.
  • 5%: Assist in the Scheduling Department budget development and ongoing management to plan.
  • 5%: Build relationships with other APP departments, such as, but not limited to, Credentialing, Recruiting, Enrollment, and Practice Support
  • 5%: Other duties as assigned

Knowledge and Experience:

  • HS Diploma Required, Bachelor’s degree is preferred
  • Three years Physician and Advanced Practice Provider scheduling experience (or relevant scheduling experience such as surgical or patient) scheduling is required
  • Prior management experience or training
  • Prior experience in monitoring budget and/or key metrics
  • Proven ability to deliver high level customer service in a complex and fast paced environment
